The Arab American University is seeking to hire a “secretary” at the Faculty of Medicine - Ramallah on a full-time temporary employment contract.

The secretary is expected to be organized, cooperative, maintain confidentiality and professionalism in performing her duties. She has to organize and manage the work of the Faculty and coordinate daily activities to ensure smooth workflow.

Duties and Responsibilities:

  1. Organize and manage incoming and outgoing mail, reports and documents.
  2. Print official letters, reports and correspondence in Arabic and English.
  3. Answer phone calls and emails and direct them to the appropriate sources.
  4. Maintain electronic and hard copy files and documentation as well as ensure the availability of documents in an easily accessible manner.
  5. Provide administrative and logistical support to the Dean, including arranging and preparing the necessary reports and documents.
  6. Provide administrative support to the Faculty Dean, coordinate and organize his meetings and the academic and administrative committees, and ensure the availability of the necessary documents and papers for these meetings.
  7. Communicate with members of the academic and administrative staff, students, visitors, and other parties in a well-mannered and professional manner.
  8. Cooperate and communicate effectively with the various faculty departments, administrative departments, and other entities at the University.
  9. Provide logistical support to support the Faculty’s events and activities in addition to assisting in implementation.
  10. Follow up on deadlines with members of the academic and administrative staff to ensure the availability of the necessary documents and reports on the specified dates.
  11. Communicate with the concerned departments to provide the materials, stationery and office supplies necessary for daily work.
  12. Maintain the confidentiality of information and files.
  13. Maintain office equipment and following up on regular maintenance with the concerned departments.

Skills and Qualifications Required for the Job:

  1. The applicant must have a bachelor’s degree or diploma in medical secretarial, hospital management, business administration, or management information systems.
  2. The applicant must have at least a one-year practical experience in the secretarial field.
  3. The applicant must be Proficient in English.
