The Arab American University is seeking to hire a “secretary” in the Deanship of Student Affairs / Ramallah Campus on a full-time temporary employment contract.

The secretary is expected to be an assistant to the dean in organizing and conducting the administrative work of the deanship effectively, by providing the necessary administrative support, and contributing to assisting and guiding students in accordance with the policies and procedures followed at the University, in addition to supervising and following up on the projects and initiatives launched by the dean with the aim of ensuring a successful university life for students. .

 

 

Duties and Responsibilities:

  1. Organizing and managing incoming and outgoing mail, reports and documents.
  2. Typing official letters, reports and correspondence in Arabic and English.
  3. Answering phone calls and emails and forward them to appropriate sources.
  4. Maintaining electronic and paper files and documentation as well as ensure the availability of documents in an easily accessible manner.
  5. Preparing and arranging the necessary reports and documents for the Dean.
  6. Providing administrative support to the Dean, coordinating and organizing meetings, and ensuring the availability of the necessary documents and papers for these meetings.
  7. Communicating with members of the academic and administrative staff, students, visitors, and other bodies in a polite and professional manner.
  8. Effective cooperation and communication with various academic and administrative departments and other entities at the University.
  9. Providing logistical support to support events and activities and assisting in their implementation and participation.
  10. Following up on deadlines with students to ensure that the necessary documents or reports are available on the specified dates.
  11. Communicating with the competent departments to provide the materials, stationery, and office supplies necessary for daily work.
  12. Maintaining the confidentiality of information and files.
  13. Maintaining office equipment and following up on regular maintenance with the competent departments.

Qualifications and Skills Required for the Job:

  1. The applicant must have a bachelor’s degree in one of the administrative sciences specializations.
  2. The applicant must have at least one year of work experience in the field of secretarial or administrative work within an academic institution.
  3. Proficiency in the English and Arabic, both written and oral.
  4. Mastering computer skills Ms. Office.
